Subject: Reminder for LWV-Wake Annual Report – Need Submissions – Deadline April 18th

Dear Leaders,
 
Wow, that sounds like I'm writing to Kim Jong-Un--totally wrong vibe for defenders of democracy!
 
Just a reminder about the annual report input: I'll need a report from every committee by 4/18, please. If you can get it to me sooner, I would be truly grateful. We have to travel to Nebraska the week of the 18th due to serious family illness, and I'd like to get the report done before then, even if I have to pull all-nighters. And you know I'm no spring chicken any more, to be staying up all night.

Thanks to those of you who've already sent yours (Marian, Pat, Paula). Terri, I don't need anything else from you for League Lit WW: all we post is the book names, and I got them off the website events. Club Express is good for that, no matter how I might swear at it from time to time. And Cheryl, I'll need an introductory message from you, please.

If you've sent to me and I haven't named you, please forgive and send it again. Put it down to my general ditzitude. That's not a word, but I'm sticking to it.

Dear LWV-Wake Leaders,

 

It’s time to prepare the 2021-2022 LWV-Wake Annual Report. I will serve as editor again this year. The Annual Report is an opportunity for us to

  • summarize the year’s activities and accomplishments,
  • communicate that it is a vibrant and active organization, and
  • reinforce that the organization is worth supporting. Our audience includes not just LWV-Wake members but other community organizations, potential members, and donors.

We plan to focus on accomplishments of the League as a whole. We still want to recognize and advertise what our committees are doing but in a way that emphasizes data and uses simple lists. Please use last year’s annual report as a guide. (See attached.)

 

What we need from each of you are numbers (for example, number of voters registered), examples of your committee’s accomplishments, and of course the ever-popular list of volunteers from last June till the submission date of April 18. Bulleted lists will be perfect. In a nutshell, summarize and boast about your committee’s activities.

 

Keep in mind that the Annual Report focuses on the past year rather than the exciting things we’ve planned for the upcoming year. The bi-weekly newsletter will continue to focus on the upcoming year.

 

Some guidelines:

  • List activities and accomplishments in a bullet point list. A comprehensive report of all details is not necessary. Include any presentations that a member of your committee made on behalf of the League to another organization or event, as well as any written materials for the website or videos that you produced for our YouTube channel.
    • Membership – In addition to activities, please provide the total number of LWV-Wake members to date. If possible, also provide the number and the percentage of members who engaged in at least one activity during the fiscal year.
    • League Lit – Please provide a list of the books that your group read.
    • Timely Topics – Please provide a list of speakers and presentation titles for each event along with attendance numbers.
    • WED — Please include a quick event summary as well as a list of donors and a total dollar figure.
    • Development— Please include a list of donors, including any donations that are attached to membership renewals and a total dollar figure. Please report donations other than WED.Break out specific campaigns where it makes sense, for example Giving Tuesday.
    • Issue committees If your committee provides education or advocacy on an issue, list the specific issues that you worked on this fiscal year (such as Voter Services’ and Redistricting’s work on local elections and DEI’s many topics). By “worked on” we mean did research, worked on fact sheets or reports, provided education, had meaningful discussions in committee, engaged in advocacy, etc. Also include activities such as committee field trips and outside speakers at committee meetings.
  • Where possible, quantify your activities in whatever way is appropriate for your committee (such as the number of attendees, number of committee members, amount of money raised).
  • List any government entities at which you know your committee members observed at least one meeting since July 1, 2021, such as the NC State Board of Elections, NC House Committee on Redistricting, etc. We do not need to know dates, times, or how often a government body was observed. Virtual observation definitely counts!
  • Avoid too many details like times, who did what, etc. Don’t include administrative minutiae. (Your committee may want to track these, but they do not need to be in the annual report.)
  • Avoid overlapping with other committees. Limit your report to the activities for which your committee was primarily responsible. Do highlight partnerships with other committees.
  • Do not include special formatting (bold, underline, italics, etc.). All articles will be edited and formatted to a consistent style during the layout process.
  • List the names of all volunteers. Include anyone who attended committee meetings or helped in any way with one of your activities, such as registering voters, giving a presentation, organizing an event. Err on the side of including a name rather than excluding names. Your list should include all of your active committee members. You do not need to indicate what a volunteer did. We only need the list of names. (Your list will be combined with lists submitted by other committees to form one list of volunteers for the annual report.)
  • If you have any photographs you’d like to share, please send them as separate attachments. We like photographs!
